Pinboard.ai

A project manager that actually manages the project.

§ 01 / Brief

Solo-founded, solo-built enterprise SaaS that collapses project management, service desk, time tracking, CRM, and reporting into a single workspace — then wires an AI copilot through every module as a working operator. Not a chat window. An agent that creates tasks, logs time, resolves tickets, and summarizes work across the data it already has.

§ 02 / Problem
Jira + Confluence + Monday + a CRM + five Zapier flows is the state of the art in 2025. Teams pay for a dozen tools that barely talk, and every vendor is shoving a chat window into the corner of each one. A chatbot doesn’t remove friction — it adds another thing to open.
§ 03 / Approach

How we cracked it.

01

One data model, many modules

Tasks, tickets, notes, meetings, contacts, contracts, time entries, and automations all share a single workspace-scoped data model. Cross-module search, cross-module automation, and cross-module AI are possible because nothing is siloed.

02

AI that takes action

The copilot creates tasks from conversation, logs time against projects, triages support tickets, and answers natural-language queries grounded in the workspace. Actions, not suggestions. The UI is the verb.

03

Semantic search as a primitive

Every note, ticket, and task is vectorized and searchable. The copilot retrieves across all of it by meaning, not keywords — making 'what did we decide about X in June' a one-line answer.

04

AI observability, built-in

Conversation analysis, quality ratings, flagging, and fix runs are first-class. The product improves its own accuracy continuously, because operating AI in production requires operating it — not just deploying it.
